We collect information you provide directly to us, including: • Account information: name, email address, and role (buyer, agent, or broker) • Property preferences: saved searches, favourited properties, and notes • Agent/broker credentials: licence number, brokerage name, and province of registration (for verified agents) • Transaction data: property addresses, buyer/seller names, offer details, and closing dates (entered by agents managing their deals) • Renter Passport documents: pay stubs, bank statements, employment letters, and credit consent forms uploaded by prospective tenants for AI-assisted income verification and renter scoring • Documents: real estate documents uploaded for AI-assisted analysis (purchase agreements, inspection reports, leases, etc.) • Communications: messages sent to agents, inquiries, and support requests We also collect limited usage data automatically (device type, browser, IP address, pages visited) to improve our service and detect fraud.

We use your personal information only for the purposes for which it was collected: • Providing and maintaining your Ravine Realty account and features • Matching buyers with relevant property listings and sending alerts (with your consent) • Enabling verified agents and brokers to manage listings, transactions, and client communications on their own behalf • Processing documents you upload through AI-assisted tools (classification, data extraction, summaries) — documents are used solely for the analysis you request • Sending service notifications, compliance reminders, and account updates • Responding to support requests and fulfilling legal obligations under Canadian law We do not use your documents or transaction data to train AI models, build marketing profiles, or sell to third parties.

Real estate documents often contain highly sensitive personal and financial information. We handle them with strict controls: • Purpose limitation: Documents you upload are used only for the specific analysis or transaction management action you initiate — never repurposed. • No unauthorized use: We will not use, share, or sell your documents or extracted data for marketing, advertising, or any purpose beyond the service you requested. • AI analysis privacy: When you use Document Intelligence, your file is processed for the analysis and is not retained beyond what is necessary to deliver the result. Files are not accessible to other users. • Transaction records: Documents and data stored in a transaction are visible only to the agent managing that transaction and the parties they choose to share them with. • Brokerage access: If you are an agent, your brokerage's broker of record may access records you create as required under provincial real estate legislation (e.g., TRESA in Ontario). • Renter Passport data: Financial documents and scores created through the Renter Passport are visible only to the tenant who created them and to landlords or Property Managers to whom the tenant has explicitly granted access. Renter Passport data is never sold to third parties or used for marketing. Tenants may request deletion of their Renter Passport and all associated documents at any time.

Ravine Realty is a technology platform — not a registered real estate brokerage. We do not represent buyers or sellers, hold trust funds, or participate in real estate transactions. Registered real estate professionals (brokers and salespersons) use Ravine Realty as a tool to manage their own listings, clients, and transactions on their own behalf and under their own brokerage. All real estate services provided through listings on this platform are delivered by the licensed professionals who posted them, not by Ravine Realty. We verify agent licence information at registration, but we are not responsible for the professional conduct, advice, or representations of any agent or brokerage using our platform.

We do not sell, trade, or rent your personal information or documents to third parties. We may share data only in these limited circumstances: • Service providers: Trusted vendors who help us operate the platform (cloud hosting, email delivery, analytics) — bound by confidentiality and data protection agreements, and located in Canada or countries with adequate privacy protections. • Agent-to-client sharing: When an agent sends property suggestions to a buyer, only the property information and the agent's contact details are shared with that buyer. • Legal compliance: If required by applicable Canadian law, court order, or government authority. • Brokerage oversight: As required under provincial real estate legislation for records retention and broker-of-record access. We never share your documents or transaction data with marketers, data brokers, or advertising networks.

We retain your personal data only as long as necessary: • Active accounts: Data is kept while your account is active and for a reasonable period after deletion for legal/accounting purposes. • Documents for AI analysis: Files uploaded for one-time analysis are deleted after processing is complete and the result has been delivered. • Transaction records: Retained for the duration of the transaction and for the period required by provincial real estate legislation (typically 6–7 years in Ontario under TRESA), as managed by the responsible agent/brokerage. • Account deletion: You may request deletion of your account and associated personal data at any time by contacting info.ravinerealty@gmail.com. We will process requests within 30 days, subject to legal retention obligations.

We protect your information using industry-standard safeguards aligned with PIPEDA's security principle: • Encryption: All data is encrypted in transit (TLS/HTTPS) and at rest in our database. • Access controls: Role-based access — agents see only their own listings, transactions, and clients. Administrators are restricted to platform operations. • Document isolation: Uploaded documents are stored with access controls so they are not visible to other users. • Regular review: We monitor for unauthorized access and conduct periodic security reviews. • Breach notification: In the event of a privacy breach affecting your personal information, we will notify affected individuals and the Office of the Privacy Commissioner of Canada as required under PIPEDA.

Ravine Realty is not directed at children under the age of 16. We do not knowingly collect personal information from minors. If you believe a child has provided us with personal information, please contact us immediately and we will delete it.

Your data is primarily stored in Canada. Where we use service providers located outside Canada, we ensure they are bound by agreements that provide a level of protection consistent with PIPEDA. We will inform you if your personal information is likely to be transferred to a foreign country.

We may update this Privacy Policy from time to time to reflect changes in our practices or Canadian law. We will notify you of significant changes by email or a prominent notice on the platform. Your continued use of Ravine Realty after changes constitutes acceptance of the updated policy.
